Check printing for a small nonprofit that is not ready for fund accounting

A small nonprofit can outgrow a handwritten checkbook before it is ready to buy a fund-accounting suite. OwnChecks sits in that gap: print the vendor check or the reimbursement on Windows, keep a register on the PC, and pay $50 once. It does not track restricted funds.

Reimbursements and vendors

The checks a small nonprofit prints are often dull: the insurance bill, a reimbursement for supplies someone bought with their own card, a stipend, a refund of an event fee. The person preparing them is frequently a volunteer or a single staff bookkeeper on one PC. OwnChecks matches that desk. Add the payee, put the purpose in the memo, print, and export the row later.

It does not replace the accounting the board already approved. If the books are in a spreadsheet, the CSV lands there. If the books are in an accounting program, you enter the check there yourself. There is no QuickBooks connection and no grant code field. A memo is a line of text, not a fund balance.

Your checks, payees and register stay on your PC. Nothing is uploaded. A cloud check printer would put vendor and payee names on someone else’s server. Some boards care about that. Some do not. This product is the local choice, with the limit that a lost PC without a backup is a lost register.

Authority still comes from the organization

Print only on accounts the nonprofit has authorized you to sign. A software license is not a board resolution. If two signatures are required over a certain amount, follow that rule on paper. The app can leave room for a second signature. It will not collect it.

Print a free test page to check alignment. Confirm acceptance with your bank before you rely on a check. A test page does not prove bank acceptance. OwnChecks is not affiliated with any bank, and it does not move money. The price is $50 for the first computer, not a per-user monthly seat. Extra computers are $15 each. Email support only. Later versions are included for as long as we sell it, which is not a promise that the product will be sold forever.

Questions

Is this fund-accounting software?

No. It does not track grants, restrictions, or programs. The memo and a CSV export are how you label a check for the books you already keep.

Can volunteers log in from home?

There is no cloud login. One license is one Windows computer. Your checks, payees and register stay on your PC. Nothing is uploaded.

Does the board get a report?

You can export the register to CSV and attach it to whatever packet you already send. The app does not email a board report.
